This Week's Question: In the late 1960's and early 1970's, I was sold at cosmetics counters throughout the world, bearing the claim that I was "a facelift without surgery." Controversial ads were run in women's magazines in efforts to sell me. One of them caught the attention of the Federal Trade Commission and I was eventually pulled from department store shelves in the US. That ad showed a "before" picture of a woman prior to using me, and beside that, an "after" picture of the same woman after using me. The problem was that the "after" picture was taken after a professional application of make-up, so the ad was false and misleading. The last jar of me is believed to have been sold by Bishop Industries, Inc., sometime around the end of 1971. What is my name?

I was working with a client recently who was completely overwhelmed by everything going on in her life lately. From the need to complete a business plan in time to submit a small business loan application to the bank, to taking care of an infirm parent, to finding the time to make the products so Web site orders could be filled, my client (who I will call Terri for purposes of this article), was about to burst an ulcer until we had a talk about the Perils Of Urgency Addition.

In his book "Freedom From Tyranny of the Urgent," author Charles E. Hummel describes how our desire to complete tasks that are merely urgent, instead of prioritizing and completing tasks that are really important, can sabotage our productivity and render fruitless even our best efforts and progress. He suggests that if we deal with the fundamental issue of prioritization of items on our To Do list, rather than just getting through the To Do list, we can save a lot of time and aggravation -- and accomplish more in the same amount of time. Plus, we can avoid actually becoming addicted to responding immediately to every little thing that pops up calling itself urgent.
I suggested to Terri that she apply this principle to her business and life for just two weeks. In practical terms, this meant creating a To Do list each night before closing down her office for the day. After making the list, Terri agreed to prioritize the top 5 items in terms of importance -- not in terms of urgency. In other words, the list was to contain - in order of importance - the things Terri wanted to accomplish the next day. What she discovered after a few short days revolutionized the way Terri prioritized her days from then on. Reprinted here is her actual note to me after trying this method.
"Donna Maria - I can't tell you how great this exercise has been for me. Not only do I find that I am getting the really important things done, I am also seeing things that once seemed urgent actually drop off of my To Do list entirely! I am learning that many of the things that seemed urgent at a particular time of crisis either worked themselves out, were really things that could wait until the next week, or turned out to be things I could delegate to someone else! I am getting more done now than ever, saving time and starting to stress out less, work less and enjoy my life more! I never thought something so simple could make such a difference!"
If you struggle with separating the urgent from the truly important, I encourage you to give this exercise a try. Just make your list and then prioritize it daily. Delegate what you can and move what seems urgent but less important to another day in the week. I think you too will find that you'll accomplish more and find that you're not just "doing more things," you're doing more of the right things -- and that will make all the difference in your business. ... and in your personal life too!
